How Uganda Coffee Merchants handles information about visitors to this website and people who send us enquiries.

Who we are

What we collect and why

Enquiry forms. When you request a sample, a quote or send a message we collect the details you enter — name, company, business email, phone (optional), country, buyer type and your requirement — together with technical information that helps us understand which search or page led to the enquiry: the page you first landed on, the referring site, the pages you viewed before the form, campaign parameters if present in the address, your time zone, and a truncated form of your IP address used only to detect abuse. We use this information to reply to you, to prepare an offer, to grade and follow up commercial leads, and to understand which content on this site produces genuine buyer enquiries. The legal basis is our legitimate interest in responding to and developing business enquiries and, where you go on to contract with us, performance of that contract.

First-party cookies. The site sets a first-party cookie (ucm_attr) that records the first page you landed on and the referring site, so that if you later send an enquiry we know how you found us. It contains no personal data and expires after 90 days. A second cookie (ucm_consent) stores your analytics choice for 180 days.

Analytics. If we enable Google Analytics 4, it runs in consent mode: no analytics cookie is set until you accept it in the banner, and IP addresses are not stored by Google in identifiable form. You can decline and the site works identically.

Email. If you email us we keep the correspondence as part of the enquiry record.

Where information is stored

Enquiries are stored on our web hosting in Europe (Hostinger) in the site's content management system and in a log file, and in our email mailbox. Only our team has access.

How long we keep it

Enquiry records are kept for as long as there is a commercial relationship or a reasonable prospect of one, and then deleted or anonymised; as a rule, records with no activity for three years are deleted. Analytics data is retained according to the Google Analytics retention setting (14 months).

Sharing

We do not sell or share enquiry data with third parties for their own purposes. We use service providers to run the website and email (Hostinger) and, if enabled, Google Analytics, under their standard data-processing terms. Where a shipment requires it, we share the commercial details you give us with freight forwarders, inspection bodies and banks involved in that shipment.

Your rights

You can ask us what information we hold about you, ask us to correct or delete it, or object to our processing, by emailing info@ugandacoffeemerchants.com. If you are in the UK or EU you also have the right to complain to your data protection authority. Uganda's Data Protection and Privacy Act 2019 applies to our processing in Uganda.

Changes

We will update this notice if our practices change; the date of the last update appears at the foot of the page.
